Zoom recently announced the next major evolution of its platform, Zoom AI Companion 3.0, introducing a set of “agent” AI features designed to orchestrate the complexities of the workday.
This announcement marks a significant shift for the company, moving it further away from its roots as a pure video conferencing tool and toward a comprehensive AI-first work platform.
While Zoom became a home utility during the pandemic, the company has aggressively expanded its feature set to directly compete with productivity giants like Microsoft and Google.
The newly announced AI Companion 3.0 brings a standalone web interface, expanded contextual features, and tight integration with third-party apps to help users discover insights and optimize their schedules.
A federated approach to AI
Under the hood, Zoom is taking a unique approach to how it powers these new intelligent features. Rather than relying on a single AI model to do all the heavy lifting, Zoom utilizes a “federated” AI approach.
The system combines Zoom's proprietary Large Language Models (LLMs) and Small Language Models (SLMs) with leading third-party models from industry leaders such as OpenAI and Anthropic.
Zoom users also benefit from leading open source models such as NVIDIA Nemotron. This strategy allows the platform to route specific tasks to the model best suited to handle them, optimizing speed, cost, and accuracy.
This results in higher-quality results for end users, including more accurate transcriptions, better closed captions, and smoother translations. By leveraging the unique strengths of different AI architectures, it aims to provide more relevant information retrieval and faster task completion.

Agentic AI and new web interface
One of the most important changes with AI Companion 3.0 is how users access the technology.
Previously, the majority of AI functionality was tied to the Zoom client during meetings or active chats. This update allows you to access AI Companion directly from your desktop web browser at ai.zoom.us.
This standalone web interface allows users to leverage the power of AI even when they are not in an active meeting, turning rich meeting discussions into actionable plans, summaries, and insights.
This is where the term “agent” comes into play. This refers to the AI's ability to act with some degree of autonomy to achieve its goals.
Unlike standard chatbots that simply answer questions based on a static database, agent AI can actively retrieve information and perform tasks across different systems. New search functionality allows you to search for information across meeting summaries, transcripts, and notes within Zoom Workplace.
Important for productivity, you can also connect to third-party applications to bridge the gap between communication and documentation.
Support for Google Drive and Microsoft OneDrive is available, and Gmail and Outlook integration is coming soon. This allows AI to act as an investigative partner, pulling context from emails and documents to provide comprehensive answers that consider the entire work environment.

The practical applications of these new features are often designed to reduce the amount of “work for work” that consumes our time.
The new Post-Meeting Follow-up prompt template is a prime example of this philosophy in action.
Free your users from post-call management slumps by automatically generating drafts of follow-up tasks and email messages based on specific to-do items discussed in the meeting.
Another welcome addition is the “Daily Reflection Report.”
This feature summarizes meetings, tasks, and updates to give you a clear start to your workday, so you can focus on high-priority items instead of sifting through notifications.

Zoom is also leveraging AI Companion 3.0 to power its document creation tool Zoom Docs.
This update introduces an agent write mode that helps you draft, edit, and refine business documents based on previous interactions.
Users can create content based on specific meetings or resources and edit it alongside AI in the Canvas interface.
This integration enables a seamless workflow that instantly turns meeting recordings into project summaries and blog posts.
Easily export documents to a variety of file types, including Markdown (MD), PDF, Microsoft Word, and Zoom Docs formats.
It also supports standard collaboration features such as shared comments, version history, and collaboration tools, making it a strong alternative to other office suites.
For users who need to start a new endeavor, AI can serve as a brainstorming partner for projects and presentations.
There is also a deep investigation mode available to Custom AI Companion customers, which allows them to save time by analyzing multiple documents and meetings to generate comprehensive insights.
Security and privacy remain a priority
As AI becomes more deeply integrated into corporate data, security remains a top concern for Australian IT leaders.
With this latest release, Zoom reiterates its commitment to security, privacy, and responsible AI practices.
The company encrypts customer data transferred between customers and Zoom, and between Zoom data centers and third-party model providers.
To ensure maximum protection, data stored within Zoom's platform is also encrypted.
Importantly, Zoom says it does not use customer content, such as communications, to train its own or third-party models.
This keeps sensitive business discussions private and not used to improve AI models for other customers.

A key component of Zoom's federated AI stack is our collaboration with NVIDIA.
The platform leverages the NVIDIA Nemotron open model to enable advanced inference and search augmentation generation (RAG).
This technology enables AI to understand the specific context of a user's work environment and capture the right data at the right time.

Zoom is making these new features available to a wide range of users so that businesses of all sizes can benefit. Zoom Workplace Basic users can try out some AI companion features, and free users can experience new technology.
If you want the full experience without a paid Zoom Workplace license, you can purchase AI Companion standalone.
Pricing is USD 10 per month, which translates to approximately AUD 15 per month for Australian users. This aggressive pricing strategy makes it more competitive with other AI assistants such as Microsoft Copilot and Gemini for Workspace.
Personal Workflow, which helps users stay on track by automatically performing follow-up tasks, is currently in beta. Beta feature availability varies by account type and usage restrictions may apply.
New features such as “My Notes,” which allows you to transcribe in-person and external meetings, are said to be coming soon.
