The new AI tools are designed to reduce manual labor for volunteer board members. Associations can create and manage tasks, generate RFPs, and document meeting minutes through a single platform.
Kaloop’s AI voice capabilities allow board members to interact with the system in real-time. Users can ask questions, assign tasks, and retrieve documents without having to navigate multiple tools or email threads.
AI agents are also being tested to support board-level decision-making. These agents organize conversations, surface relevant documents, and allow board members to communicate within structured channels rather than long email chains.

The platform is integrated with AssociationDocs.com, giving boards access to AI-powered research tools to manage documents, rules, and historical records. This allows associations to make decisions with clearer context and documented support.
Kaloop also supports automation of common approval workflows. ArchitecturalApproval.com and BuyerApprovals.com can be configured with customized online applications that allow you to instantly review and approve submissions based on predefined criteria.
These tools are aimed at self-managed organizations, which often lack full-time staff and property management support. Kaloop reduces administrative overhead and improves consistency by automating routine processes and organizing information.
Beta testing is currently underway in select associations across Florida. Early users are applying AI tools to inspections, approvals, document tracking, and board communications.
Kaloop expects to have 5,000 self-governing organizations in Florida loaded on the platform by the end of 2026, reflecting strong early demand and plans for expansion across the state.
Kaloop plans to improve its AI agent and voice capabilities based on user feedback and expand access later this year.
