Apaleo and THE FLAG Group advance the use of agent AI in hotel operations with AI Trace Agent. AI Trace Agent autonomously transforms guest booking comments into actionable tasks for hotel staff.
Trace Agent identifies guest needs from reservation comments, including birthdays, extra beds, cots, and other special requests, and automatically creates tasks in Sweetly.

THE FLAG’s housekeeping tools largely eliminate manual information transfer between systems. The system is currently in operation at THE FLAG Zürich, a 101-room facility that tests the group’s technology.
At THE FLAG Zürich, the Trace Agent automatically creates approximately 30 tasks each day. This automation saves an estimated 3.5 hours of direct task creation time each week and further improves efficiency by reducing communication between departments.
While the immediate time savings are noteworthy, Apaleo says the core value lies in preparing for further automation. Automating task creation enables deeper coordination between agents to prioritize, assign, and resolve guest requests with minimal human intervention.
According to the companies, this connection is aimed at delivering measurable improvements to both guest experience and operational performance.
Apaleo developed Trace Agent through Agent Factory and worked with Sweeply to create a secure API endpoint that allows agents to directly manage their tasks. The prototype was up and running within a month and after two and a half months of iterations.
“Everyone is talking about agent AI, but hotels need practical examples of how it works in daily operations. THE FLAG’s Trace Agent demonstrates how agent AI applications can improve collaboration between departments and create autonomous hotel operations,” said Ulrich Pillow, CEO and founder of Apaleo.
“We are excited to continue working with forward-thinking hoteliers to identify the precise opportunities where AI can improve operations and co-develop AI agents with hoteliers.”
THE FLAG plans to expand the deployment of Trace Agent across other facilities and develop additional agents for various operational tasks. Planned upgrades include allowing agents to book services directly within the integrated system, automatically notifying guests when their requests are confirmed, and assisting with room assignments based on guest preferences.
Earlier, Cocoon & Eckelman Hotels announced plans to migrate its entire portfolio to Apareo’s open application programming interface (API)-first property management platform.
